4. Assembly and Disassembly
Details on assembly and disassembly are regulated in the exhibitor information (EXPO-Letter), which is sent to all exhibitors in the run-up to the TESTIVAL.
5. Deadlines
The registration deadline is 2026-09-30.
6. Event Admission
The organizer decides on admission to the exhibition at its sole discretion, taking into account the event’s objectives. The exhibitor contract is established upon confirmation of registration. Admission is valid only for the specific event for which registration was submitted and for the exhibits and services listed therein.
7. Allocation of Exhibition Space
The organizer will make every effort to accommodate placement requests. There is no entitlement to the allocation of a specific exhibition space. In individual cases, the organizer is entitled to allocate the exhibitor a different exhibition area from that originally allocated. If such a change results in a reduction in exhibition space, the organizer shall refund the difference to the exhibitor.
8. Provision of exhibition space, co-exhibitors
Without a prior written consent of the organizer, the exhibitor may not exchange or share his exhibition space, nor transfer it in whole or in part to third parties. Surcharges for co-exhibitors must be agreed with the organizer. If an exhibition space is used by another company without prior consent, the organizer is entitled to have the space cleared at the exhibitor’s expense. The exhibitor is liable for any damage caused by co-exhibitors on the exhibition space allocated to him.
9. Terms of payment
9.1. The prices quoted for the exhibition space and other costs are valid for one booked event. Subsequent price increases are only permitted with the exhibitor’s consent. With the confirmation of registration, the exhibitor will receive an invoice from the organizer for the exhibition space rental and any additional costs.
9.2. Receipt of payment by the organizer is a mandatory prerequisite for the exhibitor to obtain and use the exhibition space.
9.3. Complaints regarding invoices must be submitted in writing within 2 weeks of receipt. The invoice amount is due without deductions within 14 days of the invoice date, but no later than 2026-09-30. Invoices issued on or after 2026-09-30 are due immediately.
10. Organization of the event
The organizer reserves the right to cancel the event up to four weeks before the scheduled date without providing a reason. In this case, the organizer will refund any participation fees already paid. Any further claims for damages are excluded. The organizer also reserves the right to reschedule or relocate the event for important reasons.
11. Event operation and design
11.1. All booth structures must comply with both legal requirements and the event conditions set forth by Hockenheimring GmbH.
11.2. The exhibition areas must be occupied by both goods and exhibitor personnel during the entire opening hours.
11.3. Disassembly may not begin prior to the official end of the event.
11.4. The playback of film and audio recordings in the exhibition space is permitted only with the prior written approval of the organizer. The exhibitor is solely responsible for registering with the Society for Musical Performing and Mechanical Reproduction Rights (GEMA).
11.5. Booth allocation is based on the information provided by the exhibitor in the registration form. Deviations may occur for planning reasons. If the content of the booth confirmation differs from the exhibitor’s registration, the contract shall be concluded in accordance with the booth confirmation, unless the exhibitor objects in writing within two weeks.
11.6. Different test tracks for the respective vehicle categories will be offered at the event. Use is regulated in separate terms of use.
11.7. The participation fee includes the provision of the exhibition space, a certain number of exhibitor passes, exhibitor support by the project management, the provision of the event’s own information systems, target group-specific marketing of the event and cleaning of the halls. The prices refer to the entire duration of the event. Further details are regulated by the respective exhibitor packages booked.
11.8. If the exhibition space is canceled, the full participation fee is due if the space cannot be rented to another exhibitor. If the organizer is able to sublet the space, a cancellation fee of 25% of the participation fee will be charged. The participation fee is the listed regular price for the respective exhibition space. Cancellation fees are calculated based on the regular prices of the package booked, not on the basis of any discounts granted. If no standard package has been booked, cancellation fees will be calculated based on the prices of the respective basic package.
12. Liability
12.1. The organizer takes no liability for goods brought into the halls by the exhibitor or the owners of the stand personnel.
12.2. The organizer is liable, within the scope of legal regulations, only in cases of willful misconduct and gross negligence. The exhibitor is liable in accordance with legal regulations for any damages caused by the exhibitor’s staff or third parties commissioned by the exhibitor.
13. Final provisions
13.1. The law of the Federal Republic of Germany shall apply.
13.2. The place of jurisdiction for all disputes arising from this contract shall be Hockenheim. All amendments and additions must be made in writing. There are no verbal collateral agreements.
13.3. Should individual provisions of the contract be wholly or partially invalid, this shall not affect the validity of the remaining provisions and agreements. The wholly or partially invalid provision shall be replaced by a valid provision which comes closest to achieving the economic purpose originally pursued by the contracting parties.

The German version of this document is the original version and is legally binding. The English version is provided for informational purposes only. In the event of any contradictions, inconsistencies, or differences in interpretation between the German and English versions, the German version shall prevail.
